Castle Bound Travel Company – Terms & Conditions (Effective 2025)

 

1. Use of CBTC Services, Access, and Booking Authorization

By booking travel services through Castle Bound Travel Company (CBTC) or any of its affiliated independent contractors, you represent and warrant that you are at least 18 years of age and have the legal authority to enter into this agreement, make travel bookings, and accept these Terms & Conditions on behalf of yourself and any individuals in your traveling party.

You agree to be financially responsible for all travel bookings made by you or on your behalf through CBTC. You further warrant that all information provided by you, whether for yourself or on behalf of others, is truthful, accurate, and complete.

You agree to only make legitimate, authorized travel reservations through CBTC. Any speculative, fraudulent, or false bookings are strictly prohibited and may result in cancellation without notice and legal action, if necessary.

All travel bookings made through CBTC are accepted by the agency as an agent for the third-party travel suppliers listed in your itinerary. You acknowledge and accept that each supplier has its own terms and conditions, which apply independently to your reservation and the services provided. By confirming your booking, you agree to abide by all applicable supplier policies and hold CBTC harmless for any disputes or issues that may arise directly with those suppliers.

 

2. Travel Agency vs. Travel Agent Understanding

Castle Bound Travel Company (CBTC) is not the source or provider of the travel services you have purchased. CBTC serves solely as an intermediary and booking agency on behalf of its affiliated independent contractors. Your designated travel advisor operates as an independent contractor and is solely responsible for handling your travel arrangements.

CBTC is not responsible for the acts or omissions of any independent contractor or third-party supplier. In the event a supplier fails to provide services, ceases operations, or fails to meet legal obligations, you agree not to hold CBTC liable. Existing bookings with CBTC are non-transferable to another agency unless cancelled directly with the original supplier.

 

3. Payments

Final payment is due in accordance with each supplier's terms. Failure to pay on time may result in cancellation and forfeiture of funds. Payments will be processed by your travel advisor on your behalf using CBTC’s authorized payment system. Direct payments to vendors may not be permitted. Clients must complete the CBTC Credit Card Authorization form to approve any charges.

 

4. Travel Documentation Requirements

It is the sole responsibility of each traveler to research, obtain, and carry all required documentation necessary for travel. This may include, but is not limited to: passports, visas, government-issued identification, health documents, vaccination records, and entry forms specific to your destination.

Castle Bound Travel Company (CBTC) does not verify travel documents and is not liable for any delays, denied boarding, entry refusal, or cancellations resulting from insufficient, expired, or improper documentation.

Travelers are expected to review all applicable requirements from official government sources such as:

CBTC strongly advises travelers to complete this research as early as possible prior to departure. Any resulting losses due to failure to obtain proper documentation are the sole responsibility of the traveler.

 

5. Entry & Exit Requirements

Travelers with criminal records may be denied entry into certain countries. It is your responsibility to research and comply with international entry laws. CBTC does not verify or inquire into criminal history and is not liable for denied entry related to legal background.

 

6. Third-Party Vendors

For bookings involving third-party vendors (e.g., excursions, transfers, babysitting services), CBTC and its affiliated agents assume no liability. All risks including injury, loss, missed transportation, illness, or dissatisfaction must be addressed directly with the third-party provider.

You waive the right to hold CBTC liable and release CBTC, its agents, affiliates, and employees from all claims arising from third-party services.

 

7. Travel Insurance

CBTC strongly encourages the purchase of travel insurance. If declined, you accept the risk of non-refundable expenses in the event of cancellation, delay, or emergency. All claims must be submitted directly to the insurance provider. CBTC is not responsible for interpreting coverage or assisting with claims.

 

8. Assumption of Travel Risk

Travel involves inherent risks including illness, injury, natural disasters, acts of terrorism, or government policy changes. CBTC is not liable for any losses, injuries, or delays arising from these events. You acknowledge and accept all associated risks when booking travel services.

 

9. Force Majeure

CBTC is not responsible for disruptions caused by events beyond its control, including but not limited to acts of God, natural disasters, pandemics, political unrest, supplier bankruptcy, or labor strikes. Refunds or compensation are not guaranteed. Clients are encouraged to purchase travel insurance to protect against such risks.

 

10. Pricing, Currency & Foreign Transaction Fees

Prices are subject to change and are not guaranteed until full payment is made. Suppliers may charge in foreign currency, resulting in conversion fees or foreign transaction charges by your bank or credit card provider. CBTC is not responsible for these fees. Clients are encouraged to confirm international charge policies with their financial institution before authorizing payment.

 

11. Unused Arrangements, Minimum Passenger Requirements, and Alterations to Bookings

When tours, cruises, packages, or other travel arrangements are booked through Castle Bound Travel Company (CBTC), the pricing may be based on special contract rates or group rates. In such cases, you may not be entitled to any refund or compensation for unused travel components, including but not limited to missed excursions, skipped meals, or early departures.

Some group travel arrangements facilitated by CBTC may require a minimum number of participants. If minimum participation is not met, suppliers may impose a surcharge, modify the itinerary, or cancel the trip altogether—subject to the supplier’s terms and conditions. CBTC is not liable for cancellations or changes made by the supplier in such instances.

If you request changes to any confirmed booking prior to or during travel, CBTC will make reasonable efforts to accommodate your request. However, changes may not be permitted depending on supplier restrictions, and additional costs may apply. All change requests must be submitted in writing.

Suppliers and vendors may alter itineraries at their discretion due to operational issues, weather, or other unforeseen circumstances. CBTC is not responsible for any such alterations and does not guarantee compensation for disruptions beyond its control.

 

12. Right to Modify Terms & Conditions

CBTC reserves the right to update or modify these Terms & Conditions at any time without prior notice. Changes become effective upon posting to our website or notification to clients. Continued use of our services constitutes acceptance of the updated terms.

 

13. Limitations of Responsibility & Legal Disclosure

CBTC acts solely as a booking agent for third-party travel suppliers and does not own, operate, or control any suppliers. All travel services are provided by independent entities with their own policies. You consent to these suppliers and acknowledge that CBTC is not liable for their actions or omissions.

To the fullest extent permitted by law, CBTC disclaims all liability—contractual, tort-based, or otherwise—for any damages, losses, or irregularities arising from supplier services, including failure to deliver services, delays, cancellations, pricing changes, or bankruptcy.

CBTC’s financial liability, if any, shall be limited to the amount of commission or fees actually received by CBTC for the affected booking.

 

14. Right to Correct Errors

CBTC reserves the right to correct pricing, availability, or booking errors at any time. Clients will be notified of any material changes and given the option to accept or cancel. CBTC is not responsible for inaccuracies resulting from third-party or supplier systems.

 

15. Limitations on Legal Claims and Chargebacks

Clients agree not to dispute charges or initiate chargebacks related to dissatisfaction with third-party suppliers. Any concerns about service quality must be directed to the vendor. By booking through CBTC, you waive the right to pursue legal action, initiate payment disputes, or seek compensation from CBTC for issues beyond our control.

CBTC does not accept responsibility for personal dissatisfaction, unmet expectations, or service issues that arise during travel.
